Sales Operation (Sales Admin & Accounting Executive)

Responsibilities and duties:
• This is an entry-level accounting and administrative role supporting the retail & distribution sales team
Sales Operation (Sales Admin).
• Support sales team to process retail client orders – check inventories, generate sales orders, prepare delivery orders and sales invoices.
• Assist with new account opening administrative matters.
• Onboard new items and bar codes on FMCG systems, including maintaining a list of existing and active barcodes and registering new products.
• Follow up with our FMCG clients monthly to retrieve sales reports. Ensure all sales in stores have been raised across all points of sales and captured in the client’s system.
• Liaise closely and follow up on the payment collection status from clients.
• Support the sales team to record and update all expenses monthly in the accounting system.
• Liaise with overseas suppliers & shipping agents to monitor incoming shipments, and coordinate receiving with the warehouse team.
• Assist to troubleshoot shipping delays.
• Update & maintain client database and product catalogs.
• Any other ad-hoc duties / administrative works required by the sales team.
• Stand in for coordination/backup duties when sales colleagues are away.
Accounting and Reporting
• Input and maintain trading sales and expenses data in our accounting system.
• Prepare monthly sales, payments, and expense reports.
• Perform monthly reconciliation of sales to payments received.
• Assist with regulatory reporting requirements and audit requests.
Requirements:
• Accounting qualification and knowledge required.
• Strong team player, able to work independently, positive, conscientious.
• Good interpersonal and communication skills.
• Meticulous and detail-oriented, Microsoft office skills required (Word, Excel etc.).
• Ability to sort, check, count, and verify numbers.
• Hands-on experience in cloud accounting systems such as Xero would be an advantage.
• Willing to learn and develop knowledge about the Company’s products.
• Min. diploma qualification in accounting & finance or equivalent, prior sales admin or accounting experience preferred.
